BOOKING TERMS & CONDITIONS

These Booking Terms & Conditions (\"\"Terms\"\") apply to all bookings made for bookable experiences and spaces at Christmas in Cambridge (\"\"the Event\"\").

By making a booking, the person making the booking (\"\"the Lead Guest\"\") confirms that they have read and accepted these Terms on behalf of themselves and all members of their booking party.

1. Introduction & Booking Confirmation

1.1. By completing a reservation and submitting payment through our booking platform, the Lead Guest and all members of their party agree to be bound by these Terms.

1.2. A booking will only be considered confirmed once the required payment has been successfully processed and a booking confirmation email, including a unique booking reference, has been issued.

1.3. Unconfirmed, incomplete or unpaid bookings are not guaranteed and may be automatically cancelled and removed from the booking system.

1.4. The Lead Guest is responsible for ensuring that all members of their party are aware of these Terms and comply with the Event's applicable House Rules.

1.5. Christmas in Cambridge is a cashless venue. All on-site purchases, including food, drinks and additional rentals, must be paid for using a valid credit or debit card, Apple Pay, Google Pay or another payment method accepted by the venue.

2. Booking Types & What's Included

Bookings are subject to the specific terms and inclusions applicable to the booking type selected at the time of reservation.

2.1. Après Hutte

2.1.1. Après Hutte bookings are subject to a £160 reservation fee per Hutte, per session. The reservation fee secures exclusive use of the allocated Hutte for the booked session.

2.1.2. The reservation fee includes a drinks allowance comprising either:

2 x large beer towers of Amstel or Cruzcampo; or
1 x dispensing flask of Mulled Wine or Mulled Cider.

2.1.3. The included drinks allowance is for use during the booked session only and has no cash value. It does not include any food allowance or additional bar credit.

2.1.4. Each Après Hutte accommodates a minimum of 2 guests and a maximum of 12 guests. The maximum capacity must not be exceeded at any time.

2.2. Alpine Lodge Bar Booth

2.2.1. Alpine Lodge Bar Booth bookings are subject to an £80 reservation fee per booth, per session. The reservation fee secures use of the allocated booth for the booked session.

2.2.2. The reservation fee includes a drinks allowance comprising either:

2 x lager or cider towers; or
2 x bottles of Prosecco.

2.2.3. The included drinks allowance is for use during the booked session only and has no cash value. It does not include any food allowance or additional bar credit.

2.2.4. Each Alpine Lodge Bar Booth accommodates a minimum of 2 guests and a maximum of 8 guests. The maximum capacity must not be exceeded at any time.

2.3. Curling Lanes

2.3.1. Curling Lane bookings are subject to a £96 booking fee per lane, per 60-minute session. The booking fee secures exclusive use of the allocated Curling Lane for the booked session, together with reserved seating for the booking party.

2.3.2. The booking fee includes:

1 x Curling Lane for the full 60-minute session;
Reserved seating for up to 8 people; and
A drinks allowance comprising either 8 beers, ciders, mulled wines or hot chocolates, or 1 bottle of Prosecco.

2.3.3. The included drinks allowance is for use during the booked session only and has no cash value. It cannot be exchanged for cash or used as credit against other food or beverage purchases.

2.3.4. The Curling Lane is available for the duration of the 60-minute booked session. The session cannot be extended due to late arrival or late check-in.

2.3.5. Guests are expected to arrive in sufficient time to check in and be ready to commence their session at the scheduled start time. The 15-minute grace period outlined in Section 5 applies to Curling Lane bookings.

3. Cancellation, Refunds & No-Shows

3.1. Cancellation outside 48 hours

Bookings may be cancelled by contacting cambridge@alpinechristmasmarkets.co.uk in writing at least 48 hours before the scheduled booking start time.

Where a booking is cancelled within this timeframe, the booking payment will be refunded to the original payment method, subject to any applicable statutory rights or exceptions.

3.2. Cancellation within 48 hours

Where a booking is cancelled less than 48 hours before the scheduled booking start time, the booking payment will normally be non-refundable and non-transferable.

This is because the space has been specifically reserved for the booking and, at this stage, it may not be possible for us to reallocate the booking to another customer.

3.3. No-Shows

If the Lead Guest and/or their party fail to attend their booking without providing the required notice, the booking will be treated as a No-Show.

In the event of a No-Show, the reservation fee and any included drinks allowance will be forfeited and no refund or alternative booking will normally be provided.

3.4. Reduced Guest Numbers

If the number of guests attending is reduced, the Lead Guest must notify us in writing at least 48 hours before the scheduled booking start time.

Where the reduction results in fewer bookable spaces being required and a refund is applicable, this will be considered on a case-by-case basis.

If fewer guests attend on the day than were originally booked, no partial refund, credit or reduction to the booking fee will be provided.

4. Amendments & Date Transfers

4.1. Subject to availability, guests may request a change to their booking date or session time.

4.2. Requests to amend a booking must be made in writing to cambridge@alpinechristmasmarkets.co.uk at least 48 hours before the original scheduled booking start time.

4.3. All amendments are subject to availability and cannot be guaranteed.

4.4. Where a booking is transferred to an alternative date or time, the new booking will be subject to the applicable availability and session arrangements at that time.

4.5. Requests for amendments made less than 48 hours before the scheduled booking time will not normally be accepted, although Christmas in Cambridge may consider such requests at its discretion.

5. Arrival, Late Arrivals & Session Times

5.1. Guests are expected to arrive in sufficient time to check in and be ready to commence their booking at the scheduled start time.

5.2. A 15-minute grace period will be provided following the scheduled booking start time.

5.3. If the Lead Guest has not checked in within 15 minutes of the scheduled start time, the booking may be treated as a No-Show. The reserved space may then be released and made available to other customers.

5.4. Where a booking is treated as a No-Show due to late arrival, the booking fee and any included drinks allowance will be forfeited in accordance with Section 3.

5.5. Late arrival will not result in an extension to the booked session. The original session end time will remain unchanged regardless of the time at which guests arrive.

5.6. Guests must vacate their booked area promptly at the scheduled end time. This applies to all bookable areas, including Après Huttes and Alpine Lodge Bar Booths.

5.7. Session end times are fixed and cannot be extended due to late arrival or late check-in.

5.8. The applicable session times will be displayed at the time of booking and/or included within the booking confirmation.

6. Weather & Force Majeure

6.1. Standard Weather Conditions

Christmas in Cambridge is an outdoor event and bookings will generally continue during normal UK weather conditions, including rain, cloud, low temperatures and windy conditions.

Guests should check the weather forecast before attending and dress appropriately for an outdoor event.

Bookings will not normally be cancelled, refunded or transferred because of weather conditions that do not require the Event or relevant booking area to close.

6.2. Severe Weather & Safety Closures

In exceptional circumstances, Christmas in Cambridge may need to temporarily close the Event, a specific area or individual booking facilities due to severe weather, safety concerns or circumstances beyond our reasonable control.

This may include, but is not limited to:

severe wind or storm conditions;
flooding;
structural or site safety concerns;
utility failures;
government or local authority requirements;
public safety incidents; or
other circumstances outside our reasonable control.

6.3. Management-Initiated Cancellation

Where Christmas in Cambridge is required to cancel a booking due to a venue or area closure, the Lead Guest will be offered either:

a full refund of the booking payment to the original payment method; or
where available, a transfer to an alternative date or session.

6.4. Christmas in Cambridge will not be responsible for any additional or consequential costs incurred by guests as a result of a cancellation or closure, including travel, accommodation, parking or other arrangements made independently by the guest.

7. Age Restrictions, Licensing & Alcohol

7.1. Christmas in Cambridge is open to guests of all ages.

7.2. Challenge 25

Christmas in Cambridge operates a strict Challenge 25 policy.

Anyone who appears to be under the age of 25 may be required to provide valid, government-issued photographic identification before entering age-restricted areas or purchasing alcohol.

Accepted forms of identification include:

a valid passport; or
a valid photocard driving licence.

Photographs or photocopies of identification will not normally be accepted.

7.3. Alcohol will only be served to guests who are legally permitted to purchase alcohol and who provide acceptable identification where requested.

8. Conduct, House Rules & Right to Refuse Admission

8.1. All guests are required to behave responsibly and comply with the Event's House Rules and the reasonable instructions of Christmas in Cambridge management, security and staff.

8.2. Christmas in Cambridge reserves the right to refuse admission to, or remove from the Event, any person whose behaviour is considered to be inappropriate, unsafe, disruptive or contrary to the House Rules.

This may include, but is not limited to, where a guest:

fails to provide valid identification when requested;
is visibly intoxicated or appears to be under the influence of illegal substances;
behaves in an aggressive, threatening, abusive or disorderly manner;
engages in antisocial behaviour;
breaches the Event's House Rules;
attempts to bring prohibited items onto the site; or
otherwise acts in a way that may compromise the safety or enjoyment of other guests or staff.

8.3. Prohibited items include, but are not limited to, external food and beverages and personal electrical appliances such as portable heaters or speakers, unless expressly authorised by Christmas in Cambridge management.

8.4. Where a guest or booking party is refused admission or removed from the Event due to their conduct or breach of these Terms or the House Rules, no refund will normally be provided.

9. Damage & Customer Liability

9.1. The Lead Guest is responsible for the conduct of all members of their booking party and may be held responsible for reasonable costs arising from damage caused by members of their party.

9.2. Guests must take reasonable care of all Event property, furniture, structures, equipment and facilities provided for their use.

9.3. Where property is damaged, lost or removed from the Event as a result of the actions or negligence of a guest or member of their booking party, Christmas in Cambridge reserves the right to seek reimbursement for the reasonable cost of repair or replacement.

9.4. This may include damage to, or loss of:

structural components of Après Huttes;
Alpine Lodge Bar Booths;
Curling Lane and booths
furniture;
fabrics and coverings;
fixtures and fittings;
equipment; and
other Event property.

9.5. Any claim for damage will be assessed reasonably and will reflect the actual or reasonable cost of repair or replacement.

10. Changes to the Event

10.1. Christmas in Cambridge reserves the right to make reasonable changes to the Event, including changes to layouts, facilities, entertainment, food and beverage operators, opening times and individual booking areas where necessary for operational, safety or licensing reasons.

10.2. Where a change materially affects a confirmed booking, Christmas in Cambridge will seek to provide reasonable notice where practicable and, where appropriate, offer an alternative arrangement.

11. Liability & Statutory Rights

11.1. Nothing in these Terms limits or excludes any liability which cannot legally be limited or excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

11.2. Christmas in Cambridge will not be responsible for loss or damage to personal belongings brought onto the Event site unless caused by our negligence or otherwise required by law.

11.3. Guests are responsible for making their own travel, parking and accommodation arrangements and should allow sufficient time to arrive at the Event.

11.4. Nothing in these Terms affects your statutory rights as a consumer.

12.2. Where possible, any issue relating to your booking or experience should be raised with a member of the Christmas in Cambridge team during your visit so that we have an opportunity to resolve the matter at the time.

14. Acceptance of These Terms

By completing a booking, the Lead Guest confirms that they have read, understood and agreed to these Booking Terms & Conditions and accepts responsibility for ensuring that all members of their party are aware of the applicable requirements.

Christmas in Cambridge reserves the right to update these Terms where reasonably necessary. The Terms applicable to a booking will be those in force at the time the booking is made, unless a subsequent change is required by law or relates to an operational or safety matter affecting the Event.\"
